Elected Roles

Role of the President

The President chairs the committee meeting, is the public face of the society and responds initially to all correspondence, requests, problems that arise, etc., taking advice from the committee along the way. The President puts together the agenda which follows a well- worn path usually, addressing the various aspects of the society’s activities with different members of the committee reporting. Problems may lead to new items on the agenda with discussion of the resolution and the path to proceed outlined. The President gives the welcome and introductions at Playing Days and the music camp. The President writes a President’s Report that is emailed out to members four times a year. The President prepares an annual report for the AGM.

Role of the Secretary

The Secretary keeps a record of the workings of the committee, taking minutes of meetings, circulating them to the committee, records of attendance at meetings. Keeping records of correspondence of the Society.

Role of Treasurer

The Treasurer keeps records of monies coming in from membership fees, and records expenditure, preparing an annual report in detail for the AGM.

Role of Two Ordinary Members

The two ordinary members help with the running of the society and support the other roles. Activities include attending committee meetings, filling in for other jobs as required (e.g., take minutes if secretary is away, help with new members’ enquiries), participate in committee discussion and perform other duties as asked by the President or other committee.

Co-opted Roles

Role of Administrator

The Administrator looks after the registration of new members, keeps membership lists with emails addresses and membership payments up to date. Lists are kept on Google Admin Consol. The Administrator keeps an eye on the Society’s calendar of events and alerts the committee to what needs to be done for these events, and notices what should be put on the website.

Role of Camp Organiser

A separate administrative role is Camp Organiser. This role has a separate and detailed description but includes liaising with the staff at the Camp venue and putting the Camp brochure together, working co-operatively with the committee.

Kirribilli Co-ordinator

Liaising with the President in relation to the Kirribilli Centre concert program.

Planning ahead to ensure each month’s concert has an Organiser.

Identifying and securing Organisers. Liaising with each Organiser as they gather their groups to create the program. Where necessary, liaising with the website manager, re details of pieces to be performed. (This is basically the Organiser’s responsibility.) Assisting Organisers where they are having difficulty enlisting sufficient numbers of groups or items.

Managing the Green Room and the scheduling of times for sound checks.

Ensuring that the Organiser has attended to all his or her listed responsibilities, especially the printing and availability on the day of about forty programs.

In liaison with the President, being responsible for managing the collection of admission charges and confirming that catering arrangements are in place.

Welcoming the audience to the concert or enlisting the Organiser to do this. Advising the audience of that refreshments will follow the concert.

Supervising the concert and the venue and the timely running of the event. Monitoring the stacking of chairs and the clearing of food tables.

Additional Roles

1. Updating Website The Website needs to be kept up to date with events such as Playing Days, Masterclasses, Sunset Concerts, and Camps.

2. Group Organiser The Group organiser assembles the grouping for Playing Days and Camp, making sure the groups are viable as far as repertoire is concerned, and making approximate matches of skills levels.

Members can contact the committee via the Members' Area
